Frequently Asked Questions

How Does TruMind Measure Growth?
Not all behaviors are used in every coaching call, so we measure the subset you're using:- For leaders: 9 leadership dimensions grounded in peer-reviewed research—spanning Leading Self, Leading Teams, and Leading Organization. These include traditional constructs like Charisma and Persuasion, plus emerging AI-era capabilities like Digital Orchestration and Boundary Bridging.
- For coaches: All 8 ICF Coaching Competencies, mapped to developmental stages so you can track and accelerate your growth over time.

How Does TruMind Measure Risk?
- Engagement: The client is psychologically checked out—likely to cancel.
- Authenticity: The client may be managing impressions rather than being candid.
Both appear in coach reports so you can address them before they derail the engagement.

How Precise are the Measurements?
Our AI Precision Measurement (AIM) approach delivers 15x more precision than traditional high-stakes credentialing exams—up to 153 unique levels per dimension. That means you can see meaningful growth between sessions, and honestly congratulate clients on baby steps of progress, not just coarse "before/after" snapshots.

Why Does Precision Matter?
Most leadership assessments give you 3-4 levels (low/medium/high). We give you 153. This means:
- You can demonstrate incremental progress to stakeholders, keeping engagement high
- Coaching ROI becomes measurable, not theoretical (when monetized)
- Powerful questions and action plans can be calibrated to each leader's exact "Goldilocks Zone" - not too hard nor too easy but "just right".

How Does It Work?
Our scribe, notes@trumind.ai, joins your Zoom calls automatically (with client consent). After the coaching session ends, you receive two reports—one for the leader, one for the coach—within 24 hours. We never store transcripts long-term; measurements are extracted and transcripts are deleted.

What Video Platforms Are Supported?
All of them - Zoom, Microsoft Teams, Google Meet, and even old-school WebEx, BlueJean

Do I Need to Record Audio or Video?
No. TruMind works from transcripts only. We're developing multimodal analysis (tone, facial expression, non-verbal behavior) for future release, but text-based measurement is our foundation—it's currently the only trustworthy modality for precision measurement.

Will I Understand Why a Score Changed?
Yes. Unlike "black box" AI tools, every set of reports includes excerpts from your transcript showing exactly what drove the measurement—and powerful questions you should consider asking based on that context; and behaviors clients should to practice for maximal growth.

What's A Goldilocks Zone?
It's the developmental sweet spot: challenges calibrated to your current capability so growth is neither too easy nor overwhelming. Our coach reports suggest "Powerful Questions" tailored to each client's zone, as do our leader reports with the actions that are optimal - both grounded in Vygotsky's Zone of Proximal Development.

Who Owns the Data?
You do. The customer who purchases the license owns their measurements. We delete raw transcripts after processing. You can request full deletion within 24 hours.

Are my data secure?
- Encrypted in transit (HTTPS) and at rest (AWS RDS)
- No transcripts stored long-term - we never use your data to train our AI
- GDPR/CCPA-aligned practices in place
- SOC 2 certification in progress

Can Clients Opt Out?
Yes. Coaches control which sessions to invite our AI scribe, and if clients change their mind mid-session, you can just kick notes@trumind.ai out of the session.

How far in advance can I add the scribe?
We recommend at least 5 minutes in advance of any meeting. Just notes@trumind.ai to your next prospecting call to assess clients and show them their gaps; or to an existing client where you'd like to try TruMind.ai

Is there Training?
Our Certified AI Coach (CAIC) program includes a flipped classroom curriculum plus live sessions with our founder and CEO, Dr. Matt Barney. You'll learn to interpret measurements responsibly before using them with clients.

Are client's data private — or does it train your AI?
Unlike frontier models (GPT, Claude, Gemini), TruMind uses End-to-End Encryption with hardware-verified privacy and open-source models that share zero data with any provider.
Your client's transcript is deleted once measured. Only your two reports are returned, by email. No data is ever used to train any model — we have a structurally different architecture that doesn't require it. Verbatim: no transcript storage, no frontier AI, no data leakage.

Is this a black box? How do I explain a score to a skeptical client?
Every score includes two explanation layers: (1) the scientific framework — Harvard Model of Hierarchical Complexity + Rasch methodology, peer-reviewed in metrology and psychometric journals — and (2) an example transcript excerpt that produced the score. You can open the report in a session and show a client the sentence that drove their rating. No other coaching AI tool provides this level of traceability. If a client asks "why did I score here?" — you show them. Our certification process guarantees you'll be 100% comfortable explaining the score to prospects and clients.

What makes this different from pasting a transcript into ChatGPT?
Four differences: (1) Precision — 15× more precise than physician credentialing tests, and zero bias. ChatGPT hallucinates — it generates plausible but false text. (2) Scientific grounding — TruMind's leader dimensions are anchored in 80 years of meta-analytic leadership research; and our coaching measures are anchored in the ICF markers. A ChatGPT prompt has zero psychometric validation. (3) Blind spot detection — our methodology surfaces engagement risk, authenticity flags, and optimal powerful questions that inattentional blindness conceals. ChatGPT amplifies blind spots; TruMind corrects them. (4) Privacy — ChatGPT, Claude, and Google all use your inputs to train their AI. We don't and never will.

What is coachability and why measure it in a chemistry call?
Coachability is a six-capability developmental meta-skill — intellectual humility, openness to experience, learning goal orientation, proactive initiative, achievement drive, and psychological needs fulfillment — that predicts how effectively a leader will grow through coaching. It evolves through developmental stages. When budgets are constrained, coaching investment should concentrate on highly coachable leaders. Add notes@trumind.ai to a chemistry call and receive a Coachability baseline before any engagement begins — so you, the client, and the sponsor know what you're working with.

How do I answer a CFO's question about ROI?
TruMind gives you the objective behavioral evidence of change — quantified across 153 developmental levels, session by session. Seven of our nine dimensions were selected specifically because they correlate with financial KPIs in meta-analytic studies. Contrast: before TruMind, you have anecdotal evidence and the client's self-report. With TruMind, you have a measurement artifact showing the precise developmental movement that occurred — which you can connect to a sponsor's performance metrics using our CEO Protocol (included in the Certified AI Coach course). For you and the CFO to calculate ROI, the key question for your CFO is what is one level of better performance worth in dollars, euros or yen?

Does it work for emotional sessions, not just leadership competency?
Yes. Our use of the Harvard Model of Hierarchical Complexity includes the use of emotions throughout. Leading Self Dimensions such as adaptability and resilience often get better specifically from professional self-regulation of those emotions. Further, TruMind scores ICF Competencies 4 and 5 (trust and presence) and tracks session arc across engagements. It's designed to complement relational work — many coaches find it most valuable in emotionally rich sessions precisely because it captures developmental movement that would otherwise remain invisible.
